When ordering or applying for anything online, it's nice to get email updates on the status of your order / application. We believe that DBS Checks should not be any different.

Subjects will now receive automatic emails when their application has been accepted by the DBS, and when the DBS Check itself is completed. 


Further to this, you will be able to add custom messaging with instructions to the applicant when their certificate is issued, e.g. information relevant to your in-house processes if required.


You do not need to do anything! These changes will automatically apply to your Subjects applications.


The New Emails


When a DBS application is accepted by the DBS we receive an E-Number. This E-Number can be used to track the applications progress {add link} and to apply to join the Update Service. All subjects will receive the email shown below:



When the DBS confirm a Certificate has been issued, we will send the applicant the email shown below.


This email can be customised with your own instructions, guidance on how to do this is below.




Customising Text in the "DBS Certificate Issued" email

You are able to add custom text to the "Certificate Received" field on a Process by Process basis. This means you can customise text based on individual's roles. For example, to give different information to new applicants and staff already employed by your business, streamlining the processes and giving the correct information to Subjects first time.

In summary all you need to do is:

  • Head to "Process Management" in your account
  • Select the one you would like to edit, and go to "requirements"
  • Expand the DBS Enhanced tab, scroll down to the "Markdown" text box and then insert the text.
  • Our text editor supports Markdown, so you are able to add headings, links and more if needed. Read more about that here.
  • After saving that process, all future "Certificate Received" notifications sent will have your text included.
