What are Segments?
Segments give the ability for Customers to segment their data, meaning that it is possible to limit the Subjects and Cases that a User can see. This is beneficial for a Customer with multiple branches or locations.
All Users will log in to the Root account, but only have access to the Segments related to them.
Who can have Segments?
Any Customer who pays in arrears can have Segments.
To enable the Segment Entitlement, contact a member of the Personnel Checks team.
Creating a new Segment
It is possible for Admin Users to create their own Segments once the Entitlement has been added to their account.
- Select "Add Segments" in the Segments Menu https://app.personnelchecks.co.uk/segments/
- Name the Segment and add a description
- If you require the DBS Certificates to have a different employer name for Cases started in this Segment, you can add that at this stage.
Adding Users and Processes to a Segment
Once a Segment has been created, Users and Processes are assigned to it.
Users
To enable a User to have access to a Segment, navigate to the User Edit Screen, and then add the required Segment.
Note - if the User has Admin as a Permission, they will have access to all Segments.
Processes
To enable a Process to be used in a Segment, navigate to the Process Edit Screen, and add the required Segment(s). It will then be possible to start a Case in this Segment.
Registration Portals
If the Process is Subject Pays, a Registration Portal needs to be created for each Segment. This is done in the Process edit screen:
- Navigate to the Registration Portals Tab
- Click "Add Another"
- Assign the Registration Portal to a Segment
- Add the Intro and Outro text
- Assign any relevant Cycles
Starting a Case with Segments
Add Case
When starting a Case on a Subject, you are prompted to choose the Segment after choosing the Process
Registration Portal
Each Segment will need its own Registration Portal, then this link is sent to the Subjects to proceed.
Subscriptions
When starting a Subscription on a Subject, you are prompted to choose the Segment when starting the Subscription.
Invoicing with Segments
Segments can either be invoiced to one root account, or individually, or a mixture of the two.
All Segments on one invoice
Invoicing Segments to the root account is the default option for Segmented Customers. No action needs to be taken to enable this.
Segments invoiced individually
In the occasion that you want one or all of your Segments invoiced individually, please contact a member of the Personnel Checks team and they will be able to arrange this for you.
