General Terminology
| Term | Description |
|---|---|
| Case | The working file that holds the details of a Subject as they go through compliance processes. |
| Activity Type | The type of activity – for example – DBS Enhanced, Online ID Verification, Basic Details |
| Case Activity | Attached to a Case, an object that has a Type (e.g. DBS Enhanced), Started / Completed dates, result data etc. |
| Subject | An individual who will be subject to compliance processes, e.g. "Subject Access Rights". |
| Process | A pre-defined compliance process which Subjects can be processed through. |
| Requirement | An Activity Type that is required on a Process. |
| Case Portal | The portal used by a Subject to provide any information needed for the Case |
| Cycle | When attached to a Process, A Cycle determines the interval at which subscriptions will create new cases |
| Subscription | The relationship between a Subject and a Cycle, has dates for first/last ran etc. |
| User | An individual with access to the system. |
| Role | A set of permissions attached to a User, for example : • Agent - somebody responsible for day-to-day compliance processes • Admin - somebody responsible for administering the users in their customer account • Payment manager – Someone who can make payments in the awaiting payments tab • DBS-Verifier – someone who can verify ID documents for a DBS check |
| Registration Portal | The portal used by a Subject to register on a Process. Often includes payment. |

Terminology for Case States
| Term | Description |
|---|---|
| Pending | The Case has not yet been initiated |
| Awaiting Subject | Waiting for the Subject to complete the Case Portal |
| In Progress | The Case has started & external activity has begun |
| Pending Case Decision | All case activities have completed, case decisions required (only relevant if the account has the decisions feature enabled, click here to learn more) |
| Complete | All Activity has completed |
| Cancelled | The Case has been cancelled |
