Personnel Checks use a third-party provider called Yoti which is a DBS-approved Identity Service Provider (IDSP) for our Online ID Verification (OIDV). The DBS Governing Body has stated that registered bodies and employers are strongly encouraged to consider using online ID verification where possible.

How Could OIDV Be Useful To You?
OIDV is beneficial to everyone as it creates a simpler journey for your Subjects; OIDV only requires one ID document for basic checks and two ID documents for standard and enhanced checks. Once OIDV has verified the Subject’s identity, the case will come directly to Personnel Checks to be countersigned, you won’t need to check their documents. OIDV will cut down on time taken processing ID documents manually which could drastically change how larger companies operate.
OIDV Fallback Options
OIDV can fail for multiple reason, some of which could be;
- Unclear photos of ID documents
- The information on the document does not match the subject’s application form
- Scan of the subject’s face does not match the photo on the ID documents.
Since OIDV can fail, a fallback option is always needed.
We offer two types of fallback method for OIDV;
- OIDV with a fallback to Post Office In-Branch verification
- OIDV with a fallback to manual ID verification
Fallback to Post Office In-Branch Verification
Post office in-branch verification (IBV) is a preferred fallback for larger companies as it means that there is another verification method before it gets to manual verification.
IBV will prompt the subject to generate a letter with QR code which they will need to take to a post office along with their ID documents - 2 documents for basics, 3 documents for standards & enhanced.
Once they attend the post office, a post master will check their documents against their application form.
If the post master has any issues, for example a document is out of date , then they would fast fail the case which means the Subject will need to come back to the post office once they have the correct information, they can use the same letter. The post master can only fast fail a Case if they notice an issue before they have started the verification.
If they notice an issue once the verification has begun, the Case will fail. The subject will need to generate a new letter and return to the post office with the correct information if they have attempts left.
You can choose how many attempts your subjects will have for IBV, we wouldn’t suggest any more than three, if a Case has failed IBV three times then there is probably an issue that needs to be resolved with manual ID verification.
Please note; if you choose IBV then you automatically have manual ID verification added as the fallback method incase a Subject fails both OIDV & IBV then the case still has an option to proceed.
Fallback to Manual ID Verification
Manual ID verification can be the first fallback when OIDV fails. Any Cases that require manual ID verification will appear in the Outstanding Activities tab on your portal - you can turn on notifications in your User settings so you don’t miss these.

Acceptable Documents
OIDV accepts a limited amount of ID documents, two documents are required.
- Passport
- Driving licence
- National Identity Card
- UK CitizenCard
- UK Young Scot Card
- UK Post Office PASS Card
Results
OIDV results will appear on the Case. Each Case will have a drop down for each Case Activity, if OIDV was included then it will be the last Case Activity in the list. Pressing on the Case Activity will show you the results of the OIDV.
If OIDV failed, the Case Activity will tell you which fallback ID verification method has been used.
