How To Get Started With Right to Work
You can perform Right to Work (RTW) checks on their own or alongside one of your other Processes.
You can also choose to use Online ID Verification which you can read about in more detail further down this page.

Verification Methods - OIDV & Manual
Verification is needed for RTW checks to ensure that the person you are employing has a Right to Work document and they match the identity of their document.
You either need to see the Subject in person or video call in order for you to make this decision.
There are two verification methods that you can choose from, Online ID Verification (OIDV) or manual verification. If you choose OIDV, then you must still see the Subject either in person or video call before verifying their Right to Work.
Online ID Verification
This method is only available for UK or Irish nationals who have a valid passport.
- The Subject will use our IDSP provider, Yoti, which will prompt them to take a photo of their passport and then a scan of their face.
- Their RTW Status will be verified digitally via the Case Portal embedded within Personnel Checks.
- Upon completion, this will show as a key result on the Case Activity. This will then appear in your Outstanding Activities.
It is a legal requirement that you see the Subject in person or on a video call before verifying their Right to Work.
Once a subject has completed their OIDV, their Case will appear in your Outstanding Activities tab.
- Click view to verify the Right to Work Case Activity.
- You will initially see the Subject’s details like name, nationality and Right to Work verification method.
- Scroll down to see their documentation, if there are any issues with the document, you can delete it and upload a new one.
- You can then confirm that the Subject (the person in-front of you) matches the likeness shown in the document, and save
If the Subject is not a UK or Irish national with a valid passport , or they fail the online verification, they will be redirected to the share code and manual Right to Work routes.
They will then be asked to confirm their nationality and they will be moved on to the next method of verification.
Important - A failed Online RTW Check is NOT a negative result, it just requires manual verification.
Right to Work Share Code
Subjects who are not UK or Irish nationals can obtain a Right to Work Share Code from the government [click here to read more about share codes]
After confirming their nationality, Subjects will be asked to upload their share code, and submit their Case Portal.
This will then appear in your Outstanding Activities. To verify:
- Open the Case Activity
- Copy the Share Code and input into the government site to obtain the Right to Work PDF
- Upload the PDF to the Case Activity
- You can then confirm that the Subject (the person in-front of you or on the video call) matches the likeness shown in the document, and save
Manual ID Verification
UK and Irish Nationals who did not pass Online ID Verification, and individuals from other nationalities who do not have a share code, will need to be manually verified.
If your Subject is directed down the Manual Route, they will be asked to provide their personal information, including their nationality. Once submitted, the Subject is informed that their employer will make contact to arrange a manual RTW session.
As it is a legal requirement for you to view and and obtain a copy of the original RTW documents, you can upload images or scans directly onto the Case Activity when recording your decision.
The result can still be recorded against the Case Activity for auditing needs and to ensure that your compliance records are complete in the Personnel Checks web app.
To record this;
- Go to your Outstanding Activities and view the Subject.
- Upload the photo of their Right to Work document
- Input your decision of whether the Subject matches the likeness of the photo on the document.
- Save
Results
To view results, navigate to the relevant Case (through the Subject, Activity Results, or the Case List View) and view the key results.
If there is a flag on the Case Activity (i.e. Right to Work has not been verified), this will show on the top right of the page, and also against the Case Activity.
